When you need to update your inventory numbers for many products at the same time, you can use a CSV import file to make adjustments in bulk. This can be handy for when you migrate to our system or you are doing a monthly or annual reconciliation.
Depending on your setup, you may have a single inventory location or multiple locations. You can view the instructions for both options below. If you are not sure which option applies to your commerce setup, or if you want to create multiple inventory locations, please reach out to [email protected] for assistance.
Importing Inventory (Single Inventory Location)
A single inventory location is where inventory depletes from a single, overall inventory total, rather than separate totals by location. Complete the following steps to update the inventory totals for a single inventory location commerce setup.
Creating Your Import Inventory Update File
Create a new CSV file and sku and quantity column headers. Make sure and save the file as an MS-DOS Comma Separated (.csv).
Once you enter the headers, add the product sku and quantity data to each row.
sku - This is the product SKU for existing products which you can view in the product details or via Offset product export files. For example, the sku for 2021 Offset Pinot Noir is 21OFFPN750.
quantity - Enter the total amount of inventory for the product. This number will update to whatever amount is in the cell.

IMPORTANT: Make sure that the column headers match this case exactly: sku and quantity or the file will not import correctly.

Confirming Your Updates and Viewing Current Inventory Levels
You can confirm your update by selecting the product and viewing the updated inventory quantity in the product details, but this can be cumbersome if you want to see the amounts for several products at a time. To see your current inventory totals in a CSV export, you can download the Current Inventory Levels export.
Select the Reports & Data button at the top of any page and under Data, APIs, & Webhooks, select All Data Exports. On the Exports page, under Full Data Exports > Product Data, you can download the Current Inventory Levels export to see a list of all your current inventory totals.
Importing Inventory (Multiple Inventory Locations)
Having multiple inventory locations allows you to select and deplete inventory totals by your pre-configured inventory locations. A single product can have multiple inventory locations. Complete the following steps to update the inventory totals for the specific inventory location.
Creating Your Import Inventory Update File
Create a new CSV file and sku, location, quantity, and note column headers. Make sure and save the file as an MS-DOS Comma Separated (.csv).
Once you have the headers, add the product data to each row.
sku - This is the product SKU for existing products, which you can view in the product details or via Offset product export files. For example, the sku for 2021 Offset Syrah is 21OFFSY750.
location - Specify the location where you are updating the inventory exactly as it appears in your settings. You can view your locations by going to the Settings > More > Inventory Locations page. Examples of locations are Winery, Fulfillment, or Storage.
quantity - Enter the number of bottles you want to add or subtract from the inventory. To add inventory, use whole numbers, for example, 8. To subtract inventory, use negative numbers, for example, -5.
note - Include any notes about the inventory adjustment. An example of a note could be Monthly Reconciliation, or Transfer to Fulfillment.
