The following setup options are found on the Settings > Appointments page and will configure options for the Appointments feature. To learn more about this feature, please click the following link for an Appointments Feature Overview.

Configure

The Configure settings add the details to your appointments module so the parameters match your unique tasting experiences.

NOTE: Some fields are required for setup and are visible to customers. Please complete all the required entries and other fields if they apply to your experience.

IMPORTANT: For each text entry, please type only one option per line.

Tour Types

REQUIREMENT: The Tour Types are required as they are visible to customers when booking appointments online.

Enter the different types of Tour experiences that customers can select on your visit page and admins can select when booking their reservations. For example, Tasting, Vineyard Walk, or Cave Tour. These options are visible to customers.

Locations

Enter the different locations where you will conduct tastings that admins can select when booking or editing an appointment. For example, a Tasting Room, Cave Nook or Picnic Area.

Rooms

Enter the different rooms available within the Locations admins can select when booking or editing an appointment. For example, Bar, Lounge, or Reserve.

Tables

Enter the different tables within the Rooms admins can select when booking or editing an appointment. For example, Table 1, Table 2, Table 3, etc.

Hosts

Enter the names of the different hosts that are available to conduct tastings that admins can select when booking or editing an appointment.

Occasions for Visit

REQUIREMENT: The Occasions for Visit are required as they are visible to customers when booking appointments online.

Enter the different occasion options customers on your visit page and admins can select when booking or editing an appointment. For example, Birthday, Anniversary, Team Outing, Industry Visit, Auction Winner, or Other.

Reasons for Visit

Enter the different reasons for a customer visit that an admin can select when adding or editing an appointment. For example, New Signup, Return Visit, Member, or Trade/Industry.


Cancellation Reasons

Enter the common cancellation reasons that an admin can select when canceling an appointment. For example, Rescheduled, Illness, Disqualified or No Showโ€‹.

Calendar

The Calendar settings are where you can adjust the date and time in the dropdown and date selections for appointments.

Closed Days

REQUIREMENT: The Closed Days are required as they are visible to customers when booking appointments online.

Toggle the days on or off depending on whether you are open for tastings on those days of the week.

Holiday / Special Closure Dates

REQUIREMENT: The Holiday / Special Closure Dates are required as they are visible to customers when booking appointments online.

Use the date selector to pick the dates when you are closed for tastings during the calendar year. For example, you may be closed on New Year's Day, so you can add 01/01/26 to the dates and customers won't be able to choose that date on the calendar when they select the date on your visit page.

Minimum Days

Enter whole numbers to select the minimum number of days from today that someone can request an appointment. For example, you can enter 2 or 3 days so that you can have advanced notice of any bookings rather than customers being able to book an appointment for the same day. Leave this field blank if you allow same-day bookings.

Maximum Days

Enter whole numbers to select the maximum number of days from today when someone can request an appointment. For example, you can enter 30 days if you want customers to limit appointment bookings to around a month in advance. This setting can also be useful if your tasting experiences change with the seasons and you want to limit advanced bookings until new experiences are available.

Emails

REQUIREMENT: These Emails are required as they can be sent to customers when you are managing their appointment requests.

Appointment Emails

Select the Appointment Emails button and you will be redirected to the Settings > Transactional Emails page where you can populate your emails.
