Adding and removing new admin users to your Figure app.

Users page in Settings

This page allows you to add new users/employees to access your Figure account and will also show you a list of the existing users/employees that have access.


Team Access:

The Users page loads the list of users as the default tab, which is called Team Access. On the right hand margin of the page is a box called Actions where you can “Invite new user”. Clicking this will display a prompt box. Enter the First & Last Name and their email address and click the blue Send Invite button. 

That process will send this person an email with a link to setup their user account.

If you happen to have two or more wineries using the Figure platform and employees working for both labels, they will not have to set up two user accounts. You will still have to go through the process to “Invite new user” however, if they are using the same email address, they will not receive the email invite. 

You would then just provide them with the login link and they would use their same login in credentials.

If you ever need to remove a users access, each account has a “Remove User” button next to their name. Click it and their access is removed. There is no secondary confirmation window however...you click it and they are gone.


Your Profile:
Your Profile is the second tab on the Users page, found to the left of Team Access. This page will allow you to update your settings, First & Last Name plus updating the password. However, a user account cannot update their email address through this process. If you have a new email address that you want to give an existing user, you should remove their existing account and then create a new user.


Two Factor Authentication (2FA):
This allows users to activate a mobile number where they can receive a secondary confirmation login text. If 2FA is activated, users will not be able to log in unless they have the 5 digit code that will get sent to their mobile phone.
**Very Important**Be aware that if you are working in an area with poor cell reception, the two factor authentication code text messages might not be reaching your mobile device.

Security of your data is an issue your ownership and management team should address. When new employees are hired and when existing employees leave the business, you should have procedures and checklists in place that protect your business and keep your client data secure.

Simple procedures such as creating password accounts for all employees with a service like 1Password can help to set standards with your team that expectations are high when it comes to protecting company and client data. Passwords should never be saved into browsers, auto login features should be disabled, and saving a Word document with lists of all logins and passwords on a laptop should never happen. 

Two Factor Authentication is yet another way to protect your company data just in case a company laptop is ever stolen or misplaced. It can happen, so don't be a business that experiences this mishap with negative results.
